We are currently hiring for a Client Care Coordinator (C3) for our Kona Office. The C3 plays a critical role in our organization that is at the center of coordinating new projects and keeping current projects on track.

Essential Duties

  • Receive new calls for service
  • Create projects in Dash
  • Send new leads to leads email disto
  • Create folder structure in CS for new leads
  • Schedule Matterport per inspection guidelines
  • Secure work auth or contract
  • Complete customer responsibility forms
  • Secure payment concurrent with contract
  • Enter pre-production date when all is received
  • Upload all docs to Dash
  • Follow up weekly until sold or closed
  • Notify supervisor of new project
  • Enter date started
  • Follow up with customer weekly
  • Create paper project folder
  • Follow up with Customer Weekly
  • Request progress invoicing per contract or as directed by foreman or supervisor
  • Create links for other services needed
  • Secure signed T&M pricelist
  • Review project for final invoicing
  • Solicit revisions from estimators if needed
  • Complete file quality checklist
  • Email accounting for invoice
  • Once email is received, email to customer & adjuster
  • If multiple invoices, send in one email with breakdown
  • Schedule Matterport inspection per inspection guidelines
  • Follow up for payment weekly- first 45 days, follow AR checklist
  • Send final paid invoices

Must have excellent customer service skills. Experience in the restoration industry is a plus. We are willing to train the right person for the role.
